At WaFloW.ai, active accounts are the way to organize your work and scale your use of the platform without mixing data, conversations, or settings.
This document explains what they are, what they are used for, and how they are generally used in both GoHighLevel and Chatwoot environments.
What is an account? #
An account represents an independent operational unit within WaFloW.ai.
Typically, an account corresponds to:
- a client, in the case of agencies
- a business or brand
- a specific project
- a GoHighLevel subaccount
- an operational account linked to Chatwoot
Each account operates independently of the others.
What are accounts used for? #
Accounts allow you to:
- separate clients or projects
- have separate conversations
- avoid data conflicts
- manage multiple numbers or channels in an organized manner
- climb without losing control
This is especially important for agencies and teams that manage multiple clients.
What you can do from the active accounts view #
From the main dashboard, you can:
- View all active accounts
- access a specific account
- determine the status of each account
- begin managing an account
The subaccount view is the starting point for operational work.
Accounts and plans #
The number of available accounts depends on:
- the plan you signed up for
- the terms of your subscription
- the add-ons or upgrades available in your account
If you need more accounts, you can upgrade your plan to suit your needs.
Difference between accounts and devices #
It is important not to confuse:
- Account → Customer, Business, or Project
- Device / Slot → WhatsApp number or operational channel linked to that account
An account can have one or more devices, but a device can belong to only one account.
Best practices #
- Use one account per client or project
- Don't mix different business activities in the same account
- Use clear names to identify each account
- Organize the slots and channels from the start
- progreses in an orderly fashion from the beginning
Summary #
Active subaccounts:
- are the core of the platform's organization
- allow scaling without mixing information
- facilitate multi-client work
- are compatible with both GoHighLevel and Chatwoot
- are laying the groundwork for more advanced configurations
