This document guides you through a complete, step-by-step verification process.
Why this verification is important #
Even if the QR code has been scanned without errors, an incomplete connection may cause:
- Messages do not come in or go out.
- Conversations are not recorded in the CRM.
- Automations are not activated.
- The system "appears" to be connected, but does not work.
Confirming these points prevents subsequent incidents that are difficult to diagnose.
Check the status of the device on WaFloW.ai #
From WaFloW.ai:
- Access the corresponding subaccount.
- Go to the list of devices.
- Verify that the device appears as connected or active.
If the status is correct, the basic QR connection has been successfully established.
Verify your session from WhatsApp #
On the phone with the connected number:
- Open WhatsApp.
- Go to Paired Devices.
- Verify that an active session corresponding to WaFloW.ai appears.
This confirms that WhatsApp recognizes the link.
Verify the phone provider in GoHighLevel (KEY STEP) #
For the integration to work correctly, GoHighLevel must have the appropriate provider configured.
From the GoHighLevel subaccount:
- Go to Settings.
- Access the telephone system.
- Go to Additional Settings.
- Open the Phone Provider tab.
- Verify that it is selected:
- WhatsApp Connector
- Type: Custom Provider
- Save the changes if necessary.
⚠️ If this step is not configured correctly, messages will not come in or go out, even if the QR is connected.
Send and receive test messages #
To confirm complete flow:
- Send a message from the connected WhatsApp number.
- Check that:
- The message is sent successfully.
- The conversation appears in GoHighLevel.
- From another number, send a message to the connected WhatsApp and verify receipt.
This step confirms that communication is bidirectional.

From GoHighLevel, verify that:
- The contact is automatically created or updated.
- The conversation is recorded in the CRM.
- Basic tags or automations (if configured) are applied.
This confirms that WaFloW.ai and GHL are correctly synchronized.
Signs that something is not right #
There may be a problem if:
- The device appears as disconnected.
- WhatsApp does not display the linked session.
- Messages are not being sent or are not arriving.
- No activity is recorded in GoHighLevel.
In these cases, review the previous steps before continuing.

- Generate a new QR code and scan it again.
