Unlike GoHighLevel, integration with WaFloW.ai in Chatwoot does not require a marketplace-style permissions screen.
In this case, it is important to configure the account access correctly so that WaFloW.ai can operate smoothly.
Why does WaFloW.ai need access to Chatwoot? #
WaFloW.ai integrates with Chatwoot to enable:
- synchronize conversations
- working with inboxes and channels
- manage WhatsApp operations within the customer service workflow
- Keep the account ready for trading from the dashboard
Without proper access, integration cannot function reliably.
When is this access configured? #
Access to Chatwoot is configured as follows:
- when creating or linking a Chatwoot account on WaFloW.ai
- when setting up the account to work with inboxes, slots, and channels
- when the integration settings are reviewed or updated
This is not a step that should be put off until later.
What does WaFloW.ai need to work with Chatwoot? #
For the integration to work properly, WaFloW.ai requires that the Chatwoot account be properly set up.
1. Chatwoot Master User (Standalone Account – BYOC) #
For accounts managed through WaFloW.ai, it is important to set up the Master User correctly.
This user account is used as an administrative account for setting up and managing Chatwoot accounts within the platform.
You must have:
- the Master User's email
- the correct identity of the user who will manage the operation
- a valid configuration within the Chatwoot environment
👉 If the Master User is not configured correctly, the account may be incomplete or may not function properly.
2. API Key / API Access Token #
WaFloW.ai requires a valid access token to communicate with Chatwoot.
This token allows you to perform the necessary operational actions within the integration.
If the token is invalid or does not belong to the correct account:
- Synchronization will not work properly
- The account will not operate reliably
- subsequent errors will arise that are more difficult to diagnose
3. Account ID #
You also need to correctly identify the Chatwoot account that WaFloW.ai will be using.
That’s what the Account ID is used for.
This setting ensures that the operation is associated with the correct environment and prevents configurations from other accounts from being mixed up.
4. Independent or external account (BYOC) #
If you’re using a separate Chatwoot account, make sure to provide the following information correctly:
- the email address of the Master User or the relevant administrative user
- the API Key / API Access Token
- the Account ID
- the correct account or environment you are going to link
👉 If any of this information is incorrect, WaFloW.ai will not be able to function properly on that separate account.
How to verify that access is configured correctly #
To complete this section correctly:
- Make sure you're working on the right account
- Check that the account is active in WaFloW.ai
- confirms that you can access the account without any issues
- Check to make sure you can continue with normal operations within the panel
In addition, it is important to confirm that:
- The Master User's email address is correct
- The access token is valid
- The Account ID matches the correct account
- Does this configuration actually belong to the correct client or project?
If everything goes smoothly, that’s a good sign that the access is set up correctly.
What information do you need to create a Chatwoot account? #
If you’re using a separate Chatwoot account, make sure you have the following information correct:
- Master User Email
- API Key / API Access Token
- Account ID
This information allows WaFloW.ai to connect successfully to the Chatwoot account and operate within the correct environment.
Where to find the Master User’s email address #
The “Master User” email address is the email address of the administrative or primary user you will use to manage your Chatwoot account.
It is usually the user’s responsibility to:
- manage the account
- has full access to the environment
- will be used as the primary reference within the integration
👉 Make sure that email address is associated with the correct account and environment.
Where to find the API Key / API Access Token #
In Chatwoot, the user’s access token is retrieved from the user’s profile.
You must log in with the appropriate user account and locate their API access token in their profile or personal settings.
That token is the one WaFloW.ai uses to authenticate itself with Chatwoot.
⚠️ If the token is invalid, has expired, or belongs to another user or environment, the integration will not work properly.
Where to find the Account ID #
The Account ID is the numerical identifier for your Chatwoot account.
Make sure to copy the correct Account ID for the account you’ll be working with.
This value identifies the specific workspace or account on which WaFloW.ai will operate.
⚠️ If the Account ID is incorrect, WaFloW.ai may attempt to operate on a different account or simply fail to function.
Recommended verification #
Before saving the settings, make sure that:
- The Master User's email address is correct
- The API Key / API Access Token belongs to the correct user
- The Account ID corresponds to the correct Chatwoot account
If any of this information does not match, the integration may be incomplete or fail later on.
Best security practices #
- Configure access to be restricted to authorized accounts only
- Avoid sharing unnecessary access
- Always make sure you're working on the right account
- Keep accounts for different clients or projects separate
- Carefully verify the Master User's email address, token, and Account ID before saving
What happens if access isn’t set up correctly? #
If the access point is not properly configured:
- Synchronization will not work properly
- WhatsApp will not be able to operate reliably
- the account may be incomplete or inactive
- subsequent errors will arise that are more difficult to diagnose
In that case, you will need to review or repeat the configuration.
How to revoke access if necessary #
If at any time you need to stop using Chatwoot with WaFloW.ai:
- Delete or edit the account settings
- disable the operational connection if it is no longer needed
- Update the structure before reconnecting a different account
⚠️ If you revoke access, WaFloW.ai will no longer work properly on that account.
Summary #
Set up Chatwoot access correctly:
- is required for WaFloW.ai to work properly
- It does not depend on a permission system like GHL, but rather on the correct access settings
- You must correctly validate the Master User, the API Key / API Access Token, and the Account ID
- should be checked before starting operations
- can be corrected or removed at any time
